GALLERY MANAGER

Terms
Part-time position with immediate start. Monday–Thursday (9.45am–6pm) with one working Saturday per month*, and with occasional evening work.
*During a week where the Registrar works on a Saturday, Monday will be taken off in lieu. All working weeks are 4 days.

Salary
£37,500–40,000 per annum (Pro rata £30,000–32,000 for four days a week)

About the Role
In response to a growing exhibition programme in the Fitzrovia space and beyond, Maximillian William, London is seeking to hire a Gallery Manager. This is a diverse role with core responsibilities including shipping, invoicing and database duties and sales administration. The successful candidate will be responsible for managing the day-to- day running of the gallery. They will work alongside the Gallery Director, Head of Exhibitions and Gallery Assistant, and will regularly liaise with artists’ studios and clients. This position is well suited for a driven individual with experience working on ambitious projects in a small team, who is well organised and motivated to work in the arts. There is scope for the right person to grow within the team and for the role to eventually include, for example, travel to fairs, wider support across the team, and work on artist projects. This is a managerial role and thus the ideal candidate will have at least two years of experience working in a similar role with a proven focus on logistics and sales administration.

Duties & Responsibilities

  • Overseeing all registrarial tasks, managing the Artlogic database, organising artwork logistics, for national and international logistics and maintaining records of artwork storage.

  • Managing the gallery's TA account, making sure all items are imported and exported correctly.

  • Handling pre- and post-sale administration, including sales documents, artist commission invoicing, maintaining client information, AML and logistics.

  • Overseeing consignment and loan agreements, liaising with artists, institutions and other commercial galleries.

  • Assisting with gallery internal and external exhibitions, including installation coordination with gallery art tech, material sourcing, contractor liaising, art fair logistics, artwork handling, and condition reports using systems such as Artlogic and Articheck.

  • Managing building maintenance, storage locations, and insurance.

  • Supervising in-house technicians and allocating tasks.

Skills & Experience

Required

  • Exceptional organisational skills

  • Great attention to detail

  • Excellent command of the English language and strong numerical skills

  • Excellent computer skills including proficiency in Artlogic, Google Workspace, Hubdoc and Xero

  • Ability to be proactive and manage multiple deadlines

  • Strong and clear communicator, able to work maturely within a team environment as well as independently

  • Previous experience in a registrarial role

  • Experience condition reporting artworks

  • Interest in contemporary art

  • At least three years’ work experience in an arts or office environment

Desirable

  • Previous experience using Articheck

  • Previous work experience in a commercial gallery or auction house

  • Previous experience working in a small team

Position Overview
We are seeking a highly motivated and experienced candidate to join our gallery team. The successful candidate will play a key role in exhibitions, programming, artist liaison, and gallery development. You will work closely with the Founder & Director, Exhibitions Assistant, Gallery Assistant, and Gallery Manager. This role will not be sales-driven; it will focus solely on the artistic direction and execution of our programme, both internally and externally. Additionally, you will support the development of our artists' careers and contribute to implementing the gallery's long-term vision.

CORE RESPONSIBILITIES:

Curating and Programming

  • Implementing and at times curating exhibitions that align with the Director's vision.

  • Plan enriching programming around exhibitions, including artist talks, discussions, and workshops.

  • Collaborate with the Director, artists, and curators to develop exhibition concepts that resonate with the gallery's vision.

  • Build relationships with established and emerging curators and writers to enhance exhibition concepts and expand the gallery's network.

  • Provide ongoing research-led curatorial support, liaising with artists, and preparing proposals, texts, press releases, materials etc.

Exhibition Logistics and Management

  • Oversee all aspects of exhibition setup and efficiently manage budgets.

Artist and Client Engagement

  • Support represented artists fully in internal and external projects.

  • Facilitate communication between artists, museums, and gallery staff.

  • Cultivate relationships with artists, fostering a collaborative and respectful environment.

  • Engage with collectors, clients, and stakeholders during exhibitions to provide insights and facilitate sales and career development.

Marketing, Writing, and Communication

  • Lead on required written material for the gallery's communications both internal and external.

Team Management and Coordination

  • Line manage an Exhibitions Assistant, ensuring effective delegation and a positive work environment.

  • Train junior members of staff/interns when appropriate.

Press and Media Relations

  • Oversee and create campaigns alongside exhibitions, maintaining relationships with writers and press.

Travel and Collaboration

  • Demonstrate enthusiasm for regular travel, fostering national and international connections.

Qualifications and Attributes

  • A demonstrated track record in successfully implementing exhibitions, driven by a dynamic and adaptable approach.

  • Five years plus of relatable experience.

  • Proven expertise in relationship building and networking within the contemporary art landscape.
